New Clients

All new clients begin with an Initial Consultation (Online). This consultation must be completed before an in-person treatment appointment can be arranged.

​

Step 1: Book Your Initial Consultation

Select the Initial Consultation (Online) through the booking page and choose an available time. Full payment of the consultation fee is required before your appointment is confirmed.

 

Step 2: Complete Your Intake Form

After booking, you will receive an intake form via email. This must be completed and returned at least 48 hours before your scheduled consultation to allow time for your information to be reviewed.

 

Step 3: Attend Your Online Consultation

During your consultation, we will discuss your reason for seeking treatment, relevant medical and lifestyle history, current symptoms, goals and expectations, and whether treatment is suitable for your needs.

Where clinically indicated, a range of motion (ROM) assessment may also be included.

 

Step 4: Arrange Your First Treatment

Following your consultation, we will discuss the most appropriate treatment approach and arrange your first in-person appointment. Your treatment will be tailored according to your presentation on the day.

Full payment is required before the treatment appointment is confirmed and secured in my diary.

 

Returning Clients

Returning clients can select the appropriate appointment option through the booking page.

Depending on the appointment type, your booking may be automatically confirmed or require manual approval. All appointments must be paid in full before they are confirmed and secured in my diary.

Intake Forms

New clients will receive an intake form by email following their consultation booking. This must be completed and returned at least 48 hours before the scheduled consultation.

Where updated information is required for returning clients, a Health Update and Waiver form may also be requested.

2 | CANCELLATIONS & RESCHEDULES

Cancellation/Reschedule Time frame

Juliana Rego Therapies operates a strict 48-hour cancellation policy. To protect my clinical time and cover fixed room rental costs, I operate a strict scheduling policy. By booking an appointment, you agree to the following terms:
 

Booking, Reschedule & Cancellation Policy

1. Booking & Payment

• Upfront Payment: All appointments must be paid in full before the appointment is confirmed and secured in my diary. This applies whether an appointment is automatically confirmed or requires manual approval.

• Initial Consultation: The consultation fee applies to the online consultation only and is not transferable towards any future in-person treatment appointment.

2. Changes With 48 Hours or More Notice

• Free Rescheduling: You can move your appointment to a new date completely free of charge, subject to availability.

• No Refunds: If you cancel instead of rescheduling, your payment remains as an account credit. This credit must be used within 3 months of the original booking date or it will be forfeited.

3. Changes With Less Than 48 Hours Notice

• To Reschedule: You will incur a late-change fee at the time of your request, charged at 50% of the session cost. This fee releases your prepaid session and allows you to select a new date, subject to availability.

• To Cancel: If you cancel with less than 48 hours' notice, or choose not to pay the late-change fee to reschedule, your prepaid appointment fee is forfeited in full. No credits, transfers or refunds will be issued.

4. Late Arrivals & No-Shows

• Late Arrivals: If you arrive late, your session time will be reduced out of respect for my next client. You will still be charged the full session price.

• No-Shows: If you miss your appointment without notice, your full session fee is forfeited. Booking a new appointment will require a brand-new payment.

3 | PLANS & PACKAGES

Commit to your long-term wellness. All multi-session packages are designed as a dedicated treatment programme and are subject to the following terms:

​

1. General Plans/Packages Rules

• Upfront Payment: Full payment is required at the time of purchase to secure your place on any programme.

• No Refunds or Extensions: Packages are non-refundable, non-exchangeable, and non-transferable. They cannot be extended past their expiration date.

• Exclusions: Packages cannot be combined with any other offer or promotion.

• Booking Responsibility: Redeeming your sessions is subject to diary availability. Please book well in advance to secure your preferred dates and avoid disappointment.

2. Advanced Clinical Massage — 6-Session Programme

The following specific terms apply to the 6-Session Programme:

• Fixed 3-Month Expiry: All 6 sessions must be completed within 3 months of the date of purchase. No extensions will be granted under any circumstances.

• Rescheduling Impact: While sessions can be moved under the guidelines below, the 3-month completion deadline remains fixed. It is your responsibility to ensure all sessions fit within this time frame.​

3. Plans/Packages Cancellations & Reschedules

Because plans and packages reserve treatment time in my diary, changes are subject to the following terms:

• Notice of 48 Hours or More: Rescheduling your session is completely free of charge, subject to availability.

• Notice of Less Than 48 Hours:

  • To Reschedule: You will incur a late-change fee of 50% of the session cost at the time of your request. This fee releases your prepaid session and allows you to select a new date, subject to availability.

  • To Cancel: If you cancel with less than 48 hours' notice, that individual session will be forfeited in full from your remaining plan or package balance. No credit, transfer or refund will be issued.

• Late Arrivals & No-Shows: If you arrive late, your treatment time will be reduced accordingly, while the full session remains payable. If you miss your appointment without notice, that individual session will be forfeited in full from your remaining plan or package balance.

 

To make up for a missed or cancelled session and complete your programme, a replacement session must be booked separately at the standard, non-discounted individual rate. Any replacement session remains subject to the original 3-month programme expiry and does not extend the programme deadline.

These terms protect my clinical time, maintain the continuity and integrity of the case study, and support appropriate monitoring of your progress throughout the six-session chronic pain protocol.

4 | GIFT CARDS

 

Treat someone special to a moment of healing and relaxation. Gift cards can be purchased directly through the booking platform and are subject to the following terms:

1. General Terms & Redemption

​

• No Expiry Date: Gift cards do not expire and remain valid until the full balance is redeemed.

• Non-Refundable: Gift cards cannot be exchanged, transferred, or refunded for cash, either fully or in part.

• Stackable: Gift cards can be used alongside any other active offer, promotion, or to purchase Treatment Plans/Packages.

• Subject to Availability: All gift card bookings depend on diary availability. Please request your slot well in advance to secure your preferred date/time.

2. Digital eGift Cards

​

• Instant Delivery: eGift cards are issued digitally via email to the address provided at checkout, either to you or directly to the recipient.

• Correct Addressing: The purchaser is responsible for entering the correct email address. Juliana Rego Therapies is not liable if a digital gift card is blocked by spam filters, deleted, or sent to an incorrect email address.

 

3. Upgrade to a Physical Gift Box (£20)

 

If you prefer a tangible gift, purchase the digital eGift card online first and send it to your own email address.

• For an additional £20.00, your gift card will be upgraded to a beautifully curated physical gift box, lined with tissue paper and wrapped in elegant ribbon.

• Inside, the recipient will find a comforting herbal tea bag alongside a handcrafted, 10ml Juliana Rego Therapies Signature Aromatherapy Roller Blend.

• Personalised Message: If you would like a personal note included on the physical card (e.g., "Happy Birthday" or "Congratulations" or "Thank You", Love Sarah"), please state this clearly at the time of your request. To keep the premium ribbon presentation pristine and uncreased, boxes cannot be opened or altered once assembled.

• Collection & Delivery:

  • In-Person Collection: Free to collect in person by prior arrangement only during scheduled clinic hours.

  • Postal Delivery: Can be shipped via 2nd Class Recorded Delivery for an additional £6.50. Your box will be posted within 3 working days from the date of your request.

• The printed gift card inside will display your unique online eGift card code.
